Special conditions for COVID-19

Booking fees and cancellations

  • Fees are payable upon booking and only refundable if the program is cancelled by the Wildflower Garden. For full-term programs, any refund will be pro-rated according to the number of sessions cancelled.
  • Bookings for Bush Kids activities are accepted on a "first come, first serve" basis and spaces are limited.
  • Ku-ring-gai Wildflower Garden reserves the right to cancel any program and in such cases will notify participants directly, prior to the activity.
  • In the case of a participant’s illness which prevents them attending on the day, a credit will be available for use against bookings up to 4 months in the future, provided that the Wildflower Garden is notified in writing by email prior to the activity commencing. No credit or refund will be available for no-shows or participants who are required to leave a program early for any reason.

Weather policy

  • Programs will proceed in poor weather. In the event of extreme weather conditions, staff will notify participants if a program is cancelled or postponed.
  • It is the participant’s responsibility to bring adequate weather protection to the activity, which may include hats, sunscreen, jumpers or raincoats depending on the conditions. Participants without adequate weather protection may not be able to participate in all aspects of the activities for safety reasons.
  • Program content and/or activities are subject to change without notice. This may occur due to weather considerations or in other circumstances.

Participant safety

  • All Wildflower Garden activity staff are trained in providing first aid and have Working with Children Checks.
  • Participants must follow safety guidelines and instructions given by any Ku-ring-gai Wildflower Garden staff member. Participants failing to follow safety guidelines may be removed from the program.
  • Participants must wear closed shoes and bring weather protection as described above.
  • All children attending must be within the age range for the activity. This excludes babies in arms who may attend free of charge with their parent or carer.
    Some programs require adult supervision. Where this is required, it will be noted in the activity description. One adult can supervise a maximum of three children (including babies in arms).
  • Children attending without adult supervision must be signed in and out by a parent or guardian.
  • Children must be collected promptly at the program conclusion time.

Risk and indemnity

  • All Wildflower Garden activity programs involve an inherent level of risk associated with the outdoor environment. Risk is viewed as an essential and beneficial element of these programs.
  • Activities led by Wildflower Garden staff have been risk assessed.
  • Participants attending activities agree to indemnify Ku-ring-gai Council against responsibility for any accident, loss or injury that occurs during participation in any Wildflower Garden Program.
  • Should at any time the Council staff or program providers consider that a participant requires medical or hospital treatment, they consent to Council staff obtaining the same at their expense.
  • By enrolling themselves and/or their child, participants expressly release Ku-ring-gai Council, its employees or officers from any claim or liability arising directly from partaking in the Wildflower Garden Program.

Active Kids vouchers

  • Active Kids Vouchers may be used for selected full-term bookings.
  • A copy of the voucher is to be provided at the time of booking, and any amount above $100 is to be paid by credit card (surcharges apply).
  • If a program is cancelled, refunds will be issued for any amount paid over the voucher value. The voucher will be transferrable to another eligible program.
  • The participant attending the class must be the same as named on the voucher.
  • If a voucher is invalid and the class goes ahead, customer will be liable for remunerating the full cost of the program.

Media release

  • Ku-ring-gai Wildflower Garden staff may on occasion take recordings of participants during activities (including photographs, videos and voice recordings). If you DO NOT wish for the participant’s recording to be used according to these conditions, please indicate this during the booking process.
  • Participants or their legal guardians grant Ku-ring-gai Council the right to record the name, image, likeness, voice and performance of the participant, and transfer to Ku-ring-gai Council and its filmmaker/photographer all rights, title, and interest for the purposes of this program. The material recorded may be used in any way that they see fit. Ku-ring-gai Council is not in any way required to use any of the material.
  • This includes, without limitation, the literary rights and copyright of the participant’s picture, photograph, silhouette, other reproductions of their physical likeness and voice collected in connection with this program, for unlimited distribution, advertising, promotion, exhibition, and use worldwide and in perpetuity and on whatever media is known or hereafter devised.
  • Ku-ring-gai Council and the producer in return agrees to retain the integrity of the subject’s image and voice.
  • Participants voluntarily agree to their involvement and understand that they will not be compensated in any way for the recording and/or use of their image, likeness, voice, etc.

Special conditions for COVID-19

Ku-ring-gai Wildflower Garden has implemented COVID-19 Special Operating Procedures for the safety of staff, participants and visitors to the Wildflower Garden. These procedures are based around social distancing, hygiene, venue cleaning and record-keeping and may include, but are not limited to:

  • Regular hand hygiene procedures for participants, supervised by staff during activities
  • Management of social distancing between adults on site
  • Cleaning of communal spaces between programs
  • Requirement for retaining contact details for all activity participants, to allow for contact tracing

All participants agree to follow COVID-19 social distancing and hygiene instructions provided by Council staff or signage.

Participants may not attend activity programs if they have any of the following:

  • Close contact with a confirmed COVID-19 case in the past 14 days
  • Travelled to Australia from overseas or have been in close contact with someone who has arrived in Australia in the past 14 days
  • COVID-19 symptoms: fever or acute respiratory infection (eg. shortness of breath or cough) with or without fever

If a participant tests positive for COVID-19 within 14 days after attending an activity program, they must notify the Wildflower Garden in writing immediately.

In the case of a child becoming unwell during the program, parents or guardians will be required to immediately pick up their child when contacted by Council staff.

A credit will be issued in the case of non-attendance due to illness and/or quarantining requirements, as per the cancellation policy above.
